Event date: Friday 22 September 2023

Times: entry to the screening area from 6:30pm, film starts 7.30pm, ends at 9.10pm (timings are approximate subject to weather conditions on the night)

Location: Whitminster Playing Field, School Lane, Whitminster, GL2 7PJ (located behind Whitminster Endowed C of E Primary School).

 Parking: Please use our designated free event parking at Highfield Garden World, GL2 7PB which will be open from 6:30pm. The car park is approx. a 5-minute walk from the Playing Field. There is no vehicular access to the Playing Field. Please note the car park will be temporarily locked at 7:30pm for the duration of the film however if you need to remove your car whilst the film is in progress, please speak to a volunteer at the entrance gazebo on the night who will be able to provide access. After the screening, the car park will be open again until 9:45pm. Please be respectful of our neighbours throughout the village as you make your way to and from the car park.

Directions from the car park to the screening: When exiting the car park on foot, turn left along the A38 and immediately left onto School Lane. Follow School Lane through the village, past the mini roundabout, and turn left through the pedestrian gate on your left-hand side just before the school. There is a pavement for the length of the access route from the car park to the screening area.

Food and Drink: We are delighted to announce we will be welcoming Bella Mia Pizza to our event selling fresh woodfired pizzas. The Really Awesome Coffee Company will have hot drinks and snacks available to purchase. Your organisers, the Friends of Whitminster School will also be selling soft drinks and sweet treats (Candy Floss, Popcorn and Chocolate). There will be no alcohol available to purchase at the event.  If you would like to bring your own food and drink, you are more than welcome to but please ensure you leave the field as you find it, removing any rubbish before you leave.  Some of the vendors on the night are cash only.

Tickets: please bring a printout of your booking confirmation, receipt or e-ticket(s) with you, or show it on your phone. We’ll have a list of all bookers with us too, so if you can’t find your e-tickets, confirmation e-mail or receipt, just bring photo ID of the booking contact along on the night.

Premium Deckchair Seats: if you have booked a Premium Deckchair Seat, these will be located at the front of the screening area. These are allocated on a first-come, first-served basis (you are guaranteed a seat, so don’t worry, and we’ll make sure that you can sit with friends if you’ve booked these seats separately from each other). Please take your seat no later than 15 minutes before the start of the film.

General Entry Seats: please remember to bring your own low-backed camping chair, deckchair or picnic blanket to the screening. Picnic blankets will be located near the front, with camping chairs and deckchairs behind, so that everyone gets a good view. Guests arriving with high-backed chairs may be asked to sit at the sides or rear. Please arrive no later than 15 minutes before the film begins.

What to Wear: Please wear warm clothes, the more layers the better, and bring a blanket or similar to keep you toasty. Wet weather outerwear is advised. Closed-toe footwear is also sensible.

Facilities: Whitminster Primary School have kindly allowed us to use the school toilets located in their temporary classroom adjacent to the screening area. If you would like to discuss any accessibility requirements you have, please email friendsofwhitminster@outlook.com

 Other Useful Info: The film is rated PG. Under 16s must be accompanied by an adult. Please bring a torch or use the light on your phone for leaving the Playing Field after the screening. The surface is uneven at points and mixed terrain. No dogs are permitted, except assistance dogs. Please be aware the screening is taking place on an active playing field so there will be rope/fencing and permanent sporting equipment adjacent to the screening area. Please ensure your children do not access the roped off area or climb on the equipment as it is not safe to do so.

Weather: Screenings proceed in all weathers, including rain. Screenings are only stopped or postponed if the weather is deemed to be making the event unsafe. This includes very heavy, prolonged rain, high winds and thunderstorms. No umbrellas are allowed in the screening area once the film begins.

Terms and Conditions: Management/organisers reserve the right to refuse entry or to ask patrons to leave if causing a nuisance. Customers are requested to respect their fellow audience members by not making unnecessary noise or disturbing those around them during the screening. Parents/guardians are responsible for all children and young people in their care for the duration of the screening. Smoking and vaping is not permitted in the screening area; please move away to the sides or rear, well away from the audience, should you wish to do this. Smoking and vaping is not permitted under any circumstances on the school grounds.
